What is DealerTasker? +
DealerTasker is an agentic AI platform purpose-built for car dealership operations. It maps to the actual departments in your store — BDC, Sales, Service, Reception, Marketing — and runs the conversations between deals: lead response, equity walks, recall outreach, voicemail triage, appointment confirmation. Built in three layers: a unified data layer across your DMS/CRM/scheduling tools, a workflow engine with 15+ ready-to-deploy plays, and AI agents tuned to your dealership's voice.
How is this different from a chatbot or chat widget? +
A chatbot is one channel doing one thing. DealerTasker is a platform that runs across SMS, voice, and email — coordinated per lead, integrated with your CRM and DMS, reporting attribution back to closed deals. You don't bolt it on; it sits underneath the customer-facing work your team does.
How is this different from Conversica, Numa, Podium, Impel, or other AI vendors? +
Most "AI for dealerships" vendors solve one specific problem — usually internet-lead response or website chat. DealerTasker covers every department: BDC, Sales, Service, Reception, Marketing (in development). One platform, one data layer, one reporting view.

Three layers: (1) Data Layer reads and writes across your DMS, CRM, scheduling, listings, and voice systems — bidirectionally. (2) Workflow Engine runs 15+ ready-to-deploy plays with proven mechanics. (3) AI Agents hold the actual conversation with your customer, tuned to your dealership's voice.
Who is DealerTasker built for? +
Single-rooftop dealers, multi-rooftop groups, and franchise + independent operators alike. The platform was designed first for franchise dealerships running enterprise DMS/CRM systems, but the architecture is dealer-agnostic — every workflow is parameterized to your specific rooftop.
Do you work with my OEM? +
Yes — the AI agents are dealership-tuned, not OEM-tuned. We respect OEM messaging guidelines per brand and have customers across major OEMs. If your OEM has a specific data-handling restriction, we can confirm compatibility on a demo call.

How is the company funded? +
Bootstrapped. We don't run a fundraise-driven roadmap — decisions about what to build come from what active customers actually use.

What's the difference between a workflow and an AI agent? +
A workflow is the play: trigger → action → outcome. An AI agent is the conversational persona that runs the workflow — voice-tuned to your dealership, multi-language, context-aware.
What's in the Workflow Library? +
15+ ready-to-deploy templates across all four department packages. The library expands every quarter — new workflows added based on what active customers ask for.
How are workflows triggered? +
Three trigger types: event-based (new lead webhook, missed call, recall publication), time-based (30/60/90-day cohorts, mileage), or condition-based (equity position, lease maturity).
Are these real AI conversations, or rules-based templates? +
Real AI conversations powered by current-generation large language models. The agent personalizes per lead. Not template-fill. Not "press 1 for sales."
What AI models power the conversations? +
Current-generation conversational AI from leading model providers, with model selection by workflow. Model costs are included in the monthly fee.
Can the AI hand off to a human? +
Yes, seamlessly. The AI passes the full conversation context to your team via your existing CRM or routing tool when escalation is needed.
Will the AI ever say something wrong or "hallucinate"? +
We constrain agents to verified data only — your inventory, your scheduling, your pricing rules. The agent can't make up a vehicle or quote a price you haven't approved.
How is the agent's voice tuned to our dealership? +
During onboarding, we collect samples from your team plus your dealership's stylistic preferences. The agent's responses are calibrated to match — and you review before going live.
Can the agent speak languages besides English? +
Yes — natively. The agents handle 50+ languages without losing context. Language detection happens automatically.
What happens when the AI doesn't know the answer? +
Either (a) hands off to a human rep with full context, (b) acknowledges and escalates, or (c) provides a generic response with a follow-up offer.
Which package, which department, what's bundled.
What are the four department packages? +
Sales Package (covers BDC volume work + sales floor between-deal motion), Service Package, Reception Package (lightest tier), and Marketing Package (in development, free at launch for active customers). Pricing is per-rooftop and quoted on your demo so we can scope to your departments, rooftop count, and volume tier.
Which package should I start with? +
Most operators start with either Sales (highest ROI on lead-response work + sales floor between-deal motion; replaces BDC labor) or Service (highest gross margin in fixed ops). Sales + Service is the most common starting combination.
Can I get just one package? +
Yes. Each package is fully functional standalone. Many dealers start with one, then add others as the platform proves itself.
What's the Total Store Bundle? +
Every paid department bundled at a single per-rooftop rate that beats à la carte by roughly 18-26%. Marketing free at launch. Dedicated CSM, priority deployment, premium SLA, annual Custom Solutions credit. Exact pricing reviewed on your demo.
How much does the bundle save vs buying individually? +
The Total Store Bundle is cheaper than buying every department separately once you run 3+ paid packages. Average savings ~18-26%, plus Marketing free at launch, dedicated CSM, and the Custom Solutions credit. Specific savings reviewed on your demo.
When is the Marketing Package launching? +
Currently in development — we don't commit a public ship date until we have a confirmed beta. Customers on any package today get Marketing free for the lifetime of their active subscription when it ships.
Can I add a package later? +
Yes — anytime, no penalty. New package activates within the standard onboarding cycle.
Can I downgrade a package? +
Yes — month-to-month. Drop with 30 days notice. Workflow configs preserved for 90 days.
TCPA, A2P, data handling, OEM rules.
Is the platform TCPA-compliant? +
TCPA-aware by design: consent management, STOP/HELP/UNSUBSCRIBE handled automatically, quiet hours per state, opt-in records logged and exportable. TCPA compliance is your dealership's legal obligation; the platform makes compliance the default behavior.
What's A2P 10DLC and who handles it? +
A2P 10DLC is the US carrier registration framework for business-to-consumer SMS. We handle brand and campaign registration end-to-end during onboarding.
Where is customer data stored? +
US-based infrastructure, encrypted at rest and in transit. Per-dealer logical isolation — your data is segregated at the database level.
Do you sell or share customer data? +
No. Customer data is your customer data. We don't sell it, mine it, or share it.
Do you train AI models on our customer data? +
No. We don't train foundation models on your data. Conversations stay within your dealership's data perimeter.
What's your compliance posture? +
Production controls are mapped to widely adopted industry trust principles covering security, availability, processing integrity, confidentiality, and privacy — US hosting, AES-256 at rest, TLS 1.2+ in transit, per-dealer isolation, documented incident response, TCPA + state-privacy discipline, and A2P 10DLC handled end-to-end. What about FTC Safeguards Rule? +
The Safeguards Rule (effective June 2023) applies to dealerships with F&I operations. We operate as a service provider under that rule with a designated Qualified Individual, a written information security program, and annual review documented.
How fast you go live, what you pay.
How long does deployment take? +
Standard onboarding is 48 hours from contract to first workflow handling a real lead. Full package activation (all workflows live + tuning) takes 1–2 weeks total.
What credentials do we need to provide? +
Read/write API access for your CRM, DMS, scheduling, voice/SMS provider. Plus your current playbook (if any) and 5–10 sample customer messages for voice tuning.
Are there setup fees? +
No setup fee for standard deployments. Custom workflow design is scoped separately and quoted before kickoff.
Are there per-conversation charges? +
No. All agent runtime, connector usage, conversation logging, and model costs are included. Carrier passthrough (SMS + voice traffic on our underlying carrier infrastructure) is billed at cost on a separate invoice line, disclosed during onboarding.
Is there a long-term contract? +
No. Month-to-month with 30 days notice to cancel.
Can I cancel? +
Yes. 30-day notice. No exit fees. We export your conversation history and lead data in standard formats.
Is there a multi-rooftop discount? +
Yes — group discounts kick in at 3+ rooftops. Specific pricing reviewed on your demo call.
What if the AI gets it wrong, sounds off, or hurts our brand?
What happens if the AI gets it wrong with a customer? +
Every conversation has an escalation path. Agents are constrained to verified data (your inventory, your scheduler, your CRM) and will hand off to a human rep when intent strays from what they're configured to handle — bad numbers, complaints, complex negotiation, anything legal-adjacent. Day-one tuning includes a defined escalation rubric specific to your store: which intents auto-escalate, who they route to, how fast.
Will the AI sound robotic or like a stranger to my customers? +
No. Voice + tone are tuned per dealership during onboarding — your brand vocabulary, your service-drive cadence, your sales-floor turns of phrase. We sample 5–10 of your actual customer-facing messages and calibrate from those. Spot-check the Conversation Showcase (linked in the nav) — those are real anonymized calls from active dealers.
What if a customer asks something off-script? +
The agent answers what it can verify and clearly hands off what it can't. It won't invent inventory, quote unapproved prices, or confirm an appointment without writing it to your scheduler. Off-script questions route to the assigned human within seconds.
Could this damage our reputation if it makes a mistake? +
A real risk worth taking seriously. Mitigations: (1) all conversations are logged + reviewable in real time; (2) escalation rubric kicks in on any flagged intent; (3) per-store tuning happens before go-live, not after; (4) you can pause or pull any workflow within 60 seconds from the dashboard; (5) we monitor sentiment per call and alert on negative trends. Most reputation damage from AI happens when the platform is treated as set-it-and-forget-it — we don't deploy that way.
Can we monitor what the AI is saying? +
Yes — every SMS, every voice call (recording + transcript), every chat session is captured in the dashboard, searchable, and exportable. Service Directors and GMs typically spot-check the first 50–100 conversations during onboarding, then dial back as they get comfortable.
What if we don't have a specific DMS? Can we still use it? +
Yes. We build custom, bidirectional integrations with every major DMS and CRM — scoped in weeks, not quarters. For systems where a live connector isn't yet built, we deploy in CSV-import + write-back mode and upgrade to live integration on your timeline. Many active customers started this way.
How does the AI handle complaints or upset customers? +
Sentiment is scored in real time. The instant negative sentiment is detected, the agent stops trying to push the conversation forward and routes to your designated human escalation contact (typically a service advisor or GM) with full context. The agent's job is to be useful when it can be, and to hand off cleanly when it can't.
What's the deployment timeline from contract to live? +
48 hours from signed contract to first workflow handling a real lead. Full package live (all workflows + voice tuning + escalation rubric set) is 1–2 weeks. Onboarding session runs ~90 minutes with your team — credentials handed off, escalation contacts confirmed, voice samples captured. Then we drive activation; you don't.
What does the onboarding session actually look like? +
90-minute call with your team. We pull your live CRM lead list, your DMS RO history, your scheduler hours, your A2P 10DLC registration status. We finalize: escalation contacts per workflow, brand voice (5–10 sample messages), pause/launch sequence (which workflow goes first). You leave with a deployment plan you can show your owner.
What if the AI starts texting at 11pm? +
It won't. Quiet hours are enforced per state (TCPA-compliant) with dual-time-zone handling for traveling customers. Outbound voice + SMS pause during quiet hours and resume the next business window. STOP/UNSUBSCRIBE triggers immediate platform-wide opt-out across all channels.
Does the AI ever do net-new outbound work without my approval? +
No. Every workflow is opt-in per dealer. You sign off on the cadence, the message, and the trigger before it goes live. We never enable a workflow you haven't reviewed.
Can the AI close a deal on its own? +
No — and that's intentional. The agent qualifies, books appointments, captures trade info, and answers verifiable questions. Anything involving a committed price, financing terms, F&I, or delivery is handed to your sales floor. The platform's job is to get the customer ready for your closer, not replace them.
What happens to our data if we cancel? +
We export your conversation history, contact list, and attribution data in standard formats within 7 days of cancellation. After that, customer data is purged from active systems within 30 days and from backups within 90 days. Aggregate, de-identified platform metrics may be retained for product improvement (no identifiable customer or dealer detail).
What's the right way to roll this out without disrupting our team? +
Soft launch: start with one workflow (most dealers pick instant lead response or recall outreach) on a single rooftop, monitor for 7–14 days, then add workflows one at a time. The dashboard shows performance per workflow, so you can pause anything that isn't pulling its weight. Total Store Bundle customers typically have all 4 packages live within 4–6 weeks; phased rollout is the default.
